PURPOSE AND SCOPE

The Payroll Specialist is responsible for the efficient and accurate processing of payroll for assigned companies and/or pay groups. This includes complying with established policies, inquiry management, resolution, transaction processing, and general customer service for assigned companies and/or groups.

ESSENTIAL DUTIES AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Assist the payroll manager with maintaining and reviewing payroll processes to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Assist with preparing and maintaining accurate records and reports of payroll transactions.
  • Ensure that payrolls are processed in a timely manner, and they run successfully adhering to established regulatory requirements and laws, including tax and labor laws.
  • Assists with audits by providing records and documentation to auditors as needed.
  • Collaborate with HR team to ensure compliance with established HR policies.
  • Interact with Accounting/Finance as required to ensure area receives accurate data as required in a timely manner as well as well as ensures alignment between the functional areas.
  • Identify areas of payroll processing for improvement and generate ways of addressing and settling issues.
  • Ensure/elevating a top-tier Customer experience.
  • Assist the payroll manager with W-2's & T-4's.
  • Set-up and maintain on-going payroll deductions.
  • Maintain activation/deactivation of sales personnel within Motus.
  • Enroll employees within our pay card program, as needed.
  • Assists with certified payrolls.
  • Assists with EEO-1 surveying, California Data Reporting, Annual Census, Multiple Worksite Reporting, and Vets 4212 Survey as needed.
  • Cross-Train in all aspects of the full payroll process.
  • Handles Verification of Employment and work with our third-party vendor on process improvements for the process.
  • Handles the processing of garnishments and works with our third-party vendor on the process

EDUCATION and/or EXPERIENCE

  • Associate degree in accounting, human resources, or related field, preferred.
  • 1 - 3 years' payroll experience required.

KNOWLEDGE / SKILL REQUIREMENTS:

The ideal candidate will demonstrate:

  • Knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Experience with Workday preferred.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software
